Registration Terms and Conditions

1. General
These Terms and Conditions govern the purchase of registration fees for the 8th LLRN Conference (hereinafter the “Conference”), organised by Fondazione Giacomo Brodolini SRL SB and the Department of Law of the University of Cagliari, to be held in Cagliari (Italy) on 28–30 June 2027.
By completing the registration process, the participant confirms that they have read, understood, and accepted these Terms and Conditions in full.
The official Conference website is www.llrn8cagliari.it. Information published on the official Conference website, including the programme, registration deadlines, venues, and practical information, forms part of the general information made available to participants.
1.1 Date-Specific Service and Right of Withdrawal
The Conference is a date-specific event. To the extent permitted by applicable consumer protection law, the statutory right of withdrawal for distance contracts does not apply to the purchase of Conference registration where the service relates to leisure or event activities to be provided on a specific date or during a specific period. Cancellations and refunds are therefore governed by the refund policy set out in Section 3 below.
2. Registration and Payment
2.1 Registration Process
Registration for the Conference is completed exclusively through the official Conference website. To finalise registration, the participant must complete the online registration form and submit full payment of the applicable registration fee.
Registration is personal and is considered confirmed only upon receipt of full payment and issuance of the relevant confirmation e-mail. The organisers reserve the right to reject or cancel incomplete, incorrect, duplicate, or fraudulent registrations.
2.2 Registration Fees
Registration fees vary according to the period in which the registration is completed:
- Early Bird: EUR 200, available from 1 June 2026 to 29 January 2027. A discount of EUR 80 is available for Ph.D. students, resulting in a reduced fee of EUR 120.
- Regular: EUR 270, available from 30 January 2027 to 30 April 2027. A discount of EUR 120 is available for Ph.D. students, resulting in a reduced fee of EUR 150.
- Late: EUR 370, available from 1 May 2027 to 28 May 2027. A discount of EUR 120 is available for Ph.D. students, resulting in a reduced fee of EUR 250.
Ph.D. student discounts are subject to eligibility verification. The discount applies to the registration fee tier applicable at the time of registration. The organisers may request suitable evidence of Ph.D. status before confirming the discounted registration.
2.3 What the Registration Fee Includes
The registration fee covers:
- access to all Conference sessions on 28–30 June 2027;
- one place at the Gala Dinner on 29 June 2027.
The registration fee does not include, and the organisers assume no responsibility for:
- accommodation;
- travel and transportation;
- visa or entry permit fees;
- travel insurance, health insurance, or personal insurance;
- meals other than the Gala Dinner included in the registration fee;
- personal expenses or any other costs not expressly stated as included.
2.4 Accompanying Person — Gala Dinner
An additional place at the Gala Dinner on 29 June 2027 may be purchased for an accompanying person during the registration process. This optional add-on is subject to availability and to the refund policy set out in Section 3 below.
If the registered participant chooses not to attend the Gala Dinner, the cost of that dinner place will not be refunded, as it is included in the registration fee and cannot be separated from it.
The accompanying person add-on grants access only to the Gala Dinner and does not include access to Conference sessions or other Conference activities, unless expressly stated otherwise by the organisers.
2.5 Payment Methods
Payment may be made by the following methods:
- credit/debit card via Stripe;
- PayPal;
- bank transfer, with IBAN details to be provided during the registration process.
Registration is considered confirmed only upon receipt of full payment. In the event of a payment failure, the order will be recorded as failed. In such cases, the participant must contact the organisers at llrn8cagliari@fondazionebrodolini.eu to resolve the issue.
Any bank charges, currency conversion fees, payment platform charges, or other transaction costs incurred by the participant shall remain their responsibility.
2.6 Invoicing
An invoice will be issued by Fondazione Giacomo Brodolini SRL SB upon receipt of each confirmed order. Invoices will be sent to the e-mail address provided during registration.
Participants must ensure that their billing details, including VAT number or tax identification number where applicable, are entered correctly at the time of registration. Requests to amend invoices after confirmation may not be accepted where this is not possible under applicable tax or accounting rules.
2.7 Substitutions and Name Changes
Registrations are personal. However, a participant who is no longer able to attend may request that their registration be transferred to another person by sending a written request to llrn8cagliari@fondazionebrodolini.eu no later than 30 April 2027.
Substitutions are subject to approval by the organisers. Ph.D. student discounts cannot be transferred to a substitute participant who does not meet the relevant eligibility requirements.
No substitution or name change will be accepted after 30 April 2027, except at the organisers’ discretion in exceptional circumstances.
3. Cancellation and Refund Policy
3.1 Refundable Items
Subject to the conditions set out in this Section, the following amounts may be eligible for refund:
- the registration fee paid by the participant, at the rate applicable at the time of registration and for the amount actually paid, including any Ph.D. student discount applied;
- the additional fee paid for an accompanying person’s place at the Gala Dinner, where applicable.
3.2 Non-Refundable Items
The following items are non-refundable:
- donations, solidarity contributions, or voluntary contributions made during the registration process;
- the value of the Gala Dinner included in the registration fee, where the participant decides not to attend the Gala Dinner;
- travel, accommodation, visa or entry permit fees, insurance, personal expenses, or any other costs incurred by the participant in connection with attendance at the Conference.
3.3 Cancellation by the Participant
Cancellation requests must be submitted in writing by e-mail to llrn8cagliari@fondazionebrodolini.eu.
Requests received on or before 30 April 2027 will be eligible for a refund of the amounts paid, less a EUR 25 administrative fee. No refunds will be granted for cancellation requests received after 30 April 2027.
3.4 How to Request a Refund
Refund requests must include:
- first name and last name of the registered participant;
- order number and/or invoice number;
- indication of whether the request concerns the registration fee, the accompanying person add-on, or both;
- where applicable, bank account details for the refund, including IBAN and account holder name;
- any supporting documentation required under these Terms and Conditions.
3.5 Refund Method and Processing Time
Refunds will be processed within 30 calendar days of receipt of a valid refund request.
Where technically possible, refunds for payments made by credit/debit card, Stripe, or PayPal will be made through the same payment platform and to the original payment method. In all other cases, including bank transfer payments or cases where the relevant payment platform no longer permits a direct refund, the refund will be made by bank transfer.
The organisers are responsible for initiating the refund within the timeframe stated above. The time required for the refunded amount to appear in the participant’s account may vary depending on the payment provider, card issuer, bank, and currency conversion procedures.
3.6 Partial Cancellation
A participant may request a partial cancellation limited to the accompanying person’s Gala Dinner add-on without cancelling their Conference registration. Such requests are subject to the same deadline and procedure set out above.
3.7 Duplicate or Erroneous Payment
In the event of a duplicate or erroneous payment caused by a technical or administrative error, the participant must contact the organisers as soon as possible, providing their name, order number(s), and evidence of the duplicate or erroneous charge. The excess amount will be refunded in full, with no administrative fee deducted.
3.8 Visa Denial
Participants are responsible for applying for any required visa or entry permit sufficiently in advance and are strongly encouraged to begin the application process as early as possible. If a participant is unable to attend the Conference due to the refusal of a visa or entry permit, any request for a refund must be submitted no later than 30 April 2027.
3.9 Cancellation of the Conference by the Organisers
If the Conference is cancelled by the organisers, solidarity contributions and any other voluntary contributions will not be refunded. Such amounts will be retained and allocated to support future conferences organised within the Labour Law Research Network.
4. Participation and Conference Rules
4.1 Admission and Badges
Access to the Conference is reserved to registered participants whose registration has been confirmed. Participants may be required to show their registration confirmation and/or identification at check-in.
Conference badges are personal and must be worn or shown where required by the organisers or venue staff. The organisers may refuse admission to any person who is not properly registered or who does not comply with these Terms and Conditions.
4.2 Programme, Venue, and Organisational Changes
The organisers reserve the right to make changes to the Conference programme, timetable, session allocation, speakers, chairs, venues, rooms, and formats where necessary for organisational, scientific, safety, or force majeure reasons.
4.3 Code of Conduct
Participants are expected to behave respectfully and professionally towards all other participants, speakers, organisers, staff, volunteers, and venue personnel. Harassment, discrimination, intimidation, abusive behaviour, or any conduct that disrupts the Conference will not be tolerated.
The organisers may take appropriate measures in response to any breach of this clause, including refusal of access, removal from the Conference, cancellation of registration without refund, and notification to relevant institutions or authorities where appropriate.
4.4 Photography, Audio, and Video Recording
Photographs, audio recordings, and video recordings may be taken during the Conference by or on behalf of the organisers for documentation, reporting, academic communication, institutional communication, and promotion of current or future events.
By attending the Conference, participants acknowledge that they may appear incidentally in such materials. Participants who have specific concerns regarding photography or recording should contact the organisers at llrn8cagliari@fondazionebrodolini.eu before the Conference or inform the registration desk on site. The processing of personal data in connection with photographs and recordings is governed by the Conference Privacy Policy.
Participants may not record, photograph, or disseminate presentations, slides, discussions, or images of other participants without the consent of the persons concerned and, where applicable, of the speaker or organiser. This clause does not prevent ordinary personal note-taking.
4.5 Accessibility, Dietary Requirements, and Special Needs
Participants are invited to inform the organisers of any accessibility requirements, dietary requirements, allergies, or other special needs during the registration process or by e-mail to llrn8cagliari@fondazionebrodolini.eu.
Requests should be submitted no later than 28 May 2027. The organisers will make reasonable efforts to accommodate timely requests, but cannot guarantee that late requests can be met, particularly where they concern catering, venue arrangements, or third-party services.
4.6 Certificates of Attendance
Certificates of attendance may be issued upon request to registered participants who attend the Conference. Certificates will be issued in electronic format unless otherwise indicated by the organisers.
5. Limitation of Liability and Force Majeure
Fondazione Giacomo Brodolini SRL SB shall not be liable for any costs incurred by participants in connection with their attendance at the Conference that are not expressly covered by the registration fee, including without limitation travel, accommodation, visa fees, insurance, and personal expenses. Participants are solely responsible for making their own arrangements in these respects.
The organisers shall not be liable for any losses or costs arising from circumstances beyond their reasonable control, including but not limited to natural disasters, public health emergencies, governmental restrictions, strikes, transport disruptions, venue unavailability, security issues, or other force majeure events.
Participants are responsible for ensuring that they are fit to travel and attend the Conference and for obtaining any insurance coverage they consider appropriate.
6. Data Protection
Personal data collected during the registration process are processed by Fondazione Giacomo Brodolini SRL SB in accordance with EU Regulation 2016/679 (GDPR) and applicable Italian data protection law.
Full details on how personal data are collected, used, stored, and protected are set out in the Conference Privacy Policy, available on the official Conference website. The Privacy Policy also provides information on data subject rights and on the processing of photographs, recordings, and other Conference-related materials where applicable.
7. Complaints
Any complaint concerning registration, payment, refund, or Conference organisation must be submitted by e-mail to llrn8cagliari@fondazionebrodolini.eu. The complaint should clearly indicate the participant’s name, order number or invoice number where applicable, and the reasons for the complaint.
Complaints relating to registration, payment, or refunds should be submitted as soon as possible after the relevant issue arises. Complaints relating to the conduct or organisation of the Conference should be submitted no later than 10 calendar days after the end of the Conference.
The organisers will make reasonable efforts to respond to complaints within 30 calendar days of receipt.
8. Governing Law and Jurisdiction
These Terms and Conditions are governed by Italian law.
Any dispute arising out of or in connection with these Terms and Conditions shall be subject to the exclusive jurisdiction of the courts of Rome, Italy, without prejudice to any mandatory consumer protection rights conferred by the law of the participant’s country of residence.
